Job Purpose

The position is responsible for the delivery of end to end HC transactional and administrative services while ensuring adherence to, and the practical application of procedures required to ensure data integrity, compliance and governance. The role includes supporting the HCSS Controller in the delivery of HCSS service offerings, ensuring efficient and quality service delivery in a timely manner with a particular focus on client service orientation.

Key Responsibilities/Accountabilities

Query management

Ensure the efficient receipt, tracking and closing of HC queries.
Resolve first line customer queries within the agreed SLA.
Ensure the use of the appropriate channels and escalations paths in the effective resolution of queries.
Promote self-service functionality when addressing HC queries

Document Management and Storage

Ensuring that all relevant documents are received, recorded, logged, tracked and filed within SLA. Ensure that all documentation is quality assured for accuracy and completeness, and includes the relevant authorised signatures.
Ensure the efficient use of TeamTrack (SBM) as the primary logging and tracking tool of the instructions

Payroll Administration

Accurately capture all relevant employee details  before each payroll run and ensure cut off dates are adhered to.
Ensure correctness of data being captured on system.
Prepare payroll files and ensure accuracy of data at all times.
Ensure payroll related data are well documented and all approvals are as per governance at all times.

Onboarding Administration

Organise all end-to-end logistics of recruitment by ensuring alignment of processes.
Work with relevant parties in the execution of the on-boarding process in-Country
Establish and maintain relationships with key stakeholders in the on-boarding process, both in-Country, at Centre and with any external parties.
Ensure all pre-employment checks are completed and actioned timeously and the relevant documentation is sent through to third party providers\internal stakeholders.

Exit Management

Ensure that all documentation is quality assured for accuracy and completeness, and includes the relevant authorised signatures.
Calculation and communication of any amounts either owing to the employee or owing to the Bank as a result of the exit

Employee benefits Administration

Compute monthly accurate payments of employee benefits.
Ensure data is maintained and updated at all times on system and in hard copy files.

General Administration Support

To provide support to internal and external stakeholders and provide relevant information.
Pull reports from system on a monthly basis and when required.

Preferred Qualification and Experience

Relevant Bachelor’s Degree  (for example in Human Resources, Business Management, etc.)
1-2 Years experience in Payroll Administration, Benefits Administration,  On-Boarding and Exit Administration Support, General HC Admin Support, Work experience in the field of Recruitment Admin.

Knowledge/Technical Skills/Expertise

Working knowledge of the various modules of SAP – HCM (Organizational Management, Employee Management, Payroll, Time and Leave and Reporting
Computer Literate
Extensive Knowledge of Microsoft excel, word, Powerpoint
