HR & Administration Officer

Overview of role

To provide efficient and effective administrative and human resources services to management and staff.

Job description

To assist the Finance and Administration Manager to review and develop policies and procedures relating to administration and human resources.
Human Resources

  • Prepare job advertisements for placement in appropriate media and shortlist potential candidates
  • Make arrangements for interviews to be carried out and participate in the selection interviews
  • Carry out health and reference checks and draft offer of employment letters
  • Carry out administrative duties relating to new employees including opening personal files, processing medical aid and pension as necessary
  • Conduct orientation and induction of new staff and supervise probation of new employees
  • Supervise the performance management process including goal setting, performance monitoring and performance appraisals

  • Identify training needs and close skills gaps
  • Maintain the job evaluation system and salary structure
  • Handle grievances and disciplinary actions
  • Monitor staff contracts and handle terminations in line with set procedures
  • Keep up-to-date staff records
  • Assist with payroll and process relevant returns
  • Coordinate wellness activities

Administration

  • Assist in ensuring the procurement process is followed and adhered to in line with set Procurement procedures
  • Follow up orders, receive goods and services and check them against the purchase order to ensure deliveries are done on time and according to specification
  • Maintain office equipment, transport and general company property and premises in good order
  • Ensure security of equipment, premises, and staff

 

  • Ensure the company provides efficient reception and telephone services
  • Ensure insurance, licenses, and lease agreements are up to date
  • Assist with keeping an accurate and up to date asset register and track asset movement
  • Manage office records in line with statutory requirements
  • Supervise staff
  • Perform any other relevant duties as directed by the supervisor

Requirements, Education and Experience

  • Degree in psychology, social science, human resource management, business administration, management, logistics or supply chain management.
  • Minimum of three (3) years’ experience with administrative responsibilities
  • Valid driver’s license required

  • Excellent command of both English & Setswana and good communications skills
  • Good Interpersonal skills
  • Results oriented and performance driven
  • Proficient with Microsoft Office
  • Highly organized
  • Good knowledge of employment laws
