Title of Position: Administration Officer (2 positions)
Locations: Jwaneng and Orapa
Main purpose of the Job
The main purpose of the job is to coordinate and provide administrative services in the operations of the local Branch office, and to facilitate core Union operations. Administratively, the position reports directly to the National Administration Officer (NAO) and indirectly to the Executive Secretary (ES) and politically, to the Branch Chairperson and/or Secretary, respectively.
Duties & Responsibilities
- Coordinate and provide office administration services of the local Branch office, including: custody of local Branch finances, maintaining administrative records, good relations with local suppliers, supervising junior staff (e.g. reception, cleaning, errands and transport); proper control and usage of office stationery, materials and equipment; coordinating local Union meetings and events.
- Provide continuous operational support to local Union officials through: typesetting, documentation, reprographics, managing office diary, meetings and event schedules; internal communication in support of day-to-day activities and core activities of Education and Training, Organising and Recruitment, Bargaining, Workplace grievances, Case management and Benefit schemes.
- Facilitate administrative support to full-time and part-time Shopstewards and local Branch Committee in their regular duties.
- Facilitate the local activities of national committees and carry out specified administrative duties and tasks assigned by the NAO, ES and/or the Branch Chairperson or Secretary.
- Nurture and maintain good external relations with local stakeholders, including local company management.
- Report regularly to the NAO and ES, as and when required.
Minimum Entry Qualifications
Diploma in Business administration, Office management, Human Resource Management, Accounting, Business Studies or relevant equivalent qualification in a related field.
Knowledge and Experience Required
- At least 2 years working in an office environment, with minimal supervision.
- Working knowledge of office procedures and basic financial records and reports.
- Proficiency Word processing.
- Report writing
Skills and Attributes
- Self-driven/motivation with good personal organisation skills.
- Good administrative, coordination, supervision, event management and inter-personal skills.
- Remote working and use of online meeting platforms e.g. Google calendar, Microsoft Teams etc an added advantage.
- Willing to work overtime and on weekends, when required.
- Knowledge of Trade Union work environment, an added advantage.
