Duties and Responsibilities
The Finance and Administration Assistant will be required to Support the Project Managers for the Biogas Project and BIOFIN Project and the Programme Specialist – Environment and Climate Change in the implementation of the projects, including:
Responsibility for logistics and administrative support of project implementation, including administrative management of the Biogas Project, Climate Promise Project and the Biodiversity Finance project budgets, required procurement support, etc.
Maintaining up-to-date business and financial documentation, in accordance with UNDP and other project reporting requirements;
Organizing meetings, business correspondence and other communications with the project partners;
Supporting the project outreach and PR activities in general, including keeping the project website up to date;
Managing the project’s files and supporting the Project Managers in preparing the required financial and other reports required for monitoring and supervision of the project’s progress;
Supporting the project manager in managing contracts, in organizing correspondence and in ensuring effective implementation of the project otherwise.
Reviews received invoices/bills for payments: utility bills, invoices, for received goods and provided services, travel claims
Prepare monthly reports of projects expenditures and other finance and administrative performance for submission to Project Manager
Receive, inspect and verify all received goods, enter record in the asset control database ensuring inventory records are up to date and accurate;
Maintains control inventory of assets, ensuring that all property is properly assigned and tracked
Facilitate adequate office supplies. Maintain a system for allocation and tracking
Support formalities related to opening and closing project office
Support Project Managers in any administrative task as required

Ability to formulate and manage budgets and reporting;
Fluent/good knowledge of Setswana and English;
Familiarity and prior experience with UNDP and GEF requirements and procedures are considered an asset.
Good ICT skills
Ability and demonstrated success to work in a team
Required Skills and Experience
Qualifications: University Degree in Accounting and Finance or Business Management
Specialized training and/or certification in , Procurement and general administration would be an added advantage
Experience
Minimum five (5) years of progressively responsible experience is required
Demonstrated experience and success of work in a similar position
Good administration and interpersonal skills
Ability to work effectively under pressure
Good computer skills
Understanding of UNDP and/or GEF work practices would be an added advantage.
Language Requirements:
Fluent/good knowledge of Setswana, English.
