Digby Wells Environmental, a service provider to the resources industry, is looking for a candidate for the above position in our Botswana office.
The successful candidate will be to provide a support service to staff and clients to ensure the office environment is in good working order and adheres to health and safety requirements. This role will also be required to provide financial administrative support.

Job Objectives:
■ Preparation of various expense schedules when required and managing the creditors age analysis
■ Process, capture and verify supplier invoices, ensure that they are compliant with the Procurement policy.
■ Collect outstanding debts from clients in compliance with the project timelines and escalate problems PM, country manager and group financial controller.
■ Preparation of payment requisitions in order for payments to be made.
■ Accurately capturing income and expenses on the company cashbooks via ProMan.
■ Monthly reconciliation of the bank accounts.
■ Prepare and load payments on the system and the bank.
■ Ensure the maintenance of the company’s assets and asset register and the correct disposal of assets in accordance with the governing legislation and regulations (environmental regulations, Health and Safety legislation etc.).
■ Carry out weekly office checks and monthly meetings in order to identify and address any issues.
■ Effective, accurate and timeous office administration including, stationary and refreshment requisition, payment of suppliers (through correct procedure) and health and safety administration.
■ Liaise with Landlord and service providers in accordance with scheduled times and when required (Cleaners, Fumigation, security, furniture removals, interior decorators, carpet cleaning, blinds etc.)
■ Effective co-ordination of staff travel and accommodation arrangements, including the administration relating to foreign evacuation and health and safety.
■ Co-ordination of internal events in conjunction with Human Resources to build team spirit and a sense of cohesion (End year functions etc.)
■ Effective project and company administration including (presentations, printing CD’s, loading new projects, receiving and distributing emails, etc.)
■ Co-ordination of charity events and collections within the company whilst
maintaining alignment to the group’s corporate social responsibility strategy.
■ Accurately calculate VAT, PAYE, WHT and other statutory obligations to BURS.
■ Accurately manage and process the petty cash and foreign currency and ensure
supporting documentation is available.
■ Ensure all financial administration is accurately completed. (Files, scanning invoices etc.)
■ Assist with financial audit requirements and queries
■ Operate the reception area by answering incoming calls and directing calls to appropriate individuals. Taking messages where required.
Qualifications:
■ Grade 12 (Standard 10)
■ Diploma in Finance or similar.
Work experience:
■ 1 – 3 years’ work experience:
■ Office administration role
■ Project Administration (advantageous)
■ Valid Driver’s Licence
Requirements:
■ Project Management
■ Procurement processes (Quotes, pricing etc.)
■ Legislation (Occupational Health and Safety law, Environmental Regulations,
Building regulations etc.)
■ Supplier Relationship management
■ PC Literacy (Microsoft office incl. Intermediate excel)
■ Communication Skills (Verbal and Written)
■ Customer-oriented
■ Intrapersonal skills (build rapport etc.)
■ Time Management (Ability to adhere to deadlines etc.)
■ Analytical thinker
■ Working knowledge of financial Principles (debtors, invoicing, Tax etc.)
