Introduction
We are HIRING in GABORONE for a Human Resources Administration on a FIXED term contract for 6 months, to provide a shared service and partner with the business in providing administrative HR support across the company
Specification
Key Performance Areas
HR Administration
– Generate Contract of employments, Annexures, internship contract and training Contracts.
– Responsible for the completion of all administration across the Group
– Confirmation of Employment letters
– Minute Taking
Payroll
– Assist with the completion of new engagement documentation and updating the payroll submissions spread sheet
– Process access requirements for all new employees
– Compile and complete all outstanding documentation for payroll submission
– Ensure that all HR submissions is sent through to payroll by no later than the payroll cutoff date
Employee Benefits
– Send through the updated email addresses to Alexander Forbes (pension and medical aid Administrators)
– Ensure that all new applications are completed and signed off before sending through to Discovery
– Ensure that all withdrawals are timeously processed on the online system
– Completion of documents for ex-employees as well as existing employees who belong to the Union (Pension, Disability, UIF, Death claims)
– Maintain quality relationships and communications with all stakeholders, both internal and external
Recruitment
– Ensure that a staff requisition is accurately completed in its entirety
– Ensure approval is obtained by the HR Director before handing over the Staff requisition to the Recruitment Specialist
– Update and maintain the vacancy list for HRBPs
– Act as a liaison between payroll and recruitment to ensure that dummy payslip are accurately generated
– Provide Administrative support and back up to the Recruitment as and when required
– Complete an Induction program for the employee by coordinating all segments of the induction training amongst the divisions of the organization
Industrial Relations
– Assist line managers to ensure all internal policies and procedures are adhered to
– Generate documentation in support of the relevant disciplinary action taken as and when required
– Send AWOL letters to employees not reporting to work and follow up on the response of the letters with said employees’ managers
– Updating of the Group Organogram
Reports
– Generate monthly termination, out of cycle and new engagement reports
Maintenance of Employee Files
– Maintain accurate and updated information on both the digital and hard copy employee files
Research and Development
– Conduct ongoing research and review of best practices locally and internationally to support the development of the HR function in the organization
– To assist in the development, implementation and maintenance of all HR policies and procedures
– To assist in benchmarking exercises, surveys and continuous research
Requirements
Requirements
– Grade 12 / Matric
– Degree/Diploma in Human Resources Management
– Sound knowledge of all relevant labour legislation (BCEA, LRA)
– 3 -5 years HR Administration experience
