We are looking for a dynamic and energy packed individual who is a self- motivated team player. The individual should be dedicated and committed to providing excellent service within a high pressure environment. We wish to invite suitably qualified candidates to apply for the below position.
PURPOSE OF THE JOB
Provide support to the Fleet management division with efficient administrative functions. These functions include record keeping, reporting, and information management systems basic accounting, analytical work and day to day operational assistance. The position reports to the Fleet Manager.
Requirements
BRIEF DESCRIPTION OF POSITION
•Carry out operations monthly stock take and submit to the warehouse administration team.
•Receive parts list from operations workshop, place order or supply from stock
•Maintain stores issues up to date.
•Capture/enter inter camp transfer on stock sheet.
•Consolidate expense sheets data from camps monthly and maintain a master spread sheet of expenses.
•Extract data to populate cost monitor spreadsheet
•Follow up and send reminders for submission of administration related data and copies from camps as required and file accordingly e.g. expense sheets, tools stock counts, weekly reports, job cards, battery inventory lists, incident reports
•initiate time sensitive action response on incident reports submitted
•Maintain a spreadsheet for high value purchases made by camps
•Facilitate movements for third party suppliers across various camps.
•Maintain records of visits and nature of work done by third party suppliers.
•Follow up all third party Invoices and facilitate their approval from the Fleet Manager.
•Maintain an up-to-date vehicle data list on a monthly bases
•Maintain a relationship and proactive communication with the Government licencing department
•Update the tools register for the camps that they account on monthly and advise fleet manager any anomalies.
•Maintain filing for fleet related documents as directed by fleet register.
•Ensure all invoices processed through the Maun workshop are passed on to the relevant logistics coordinators for dispatch etc. weekly.
QUALIFICATIONS
•Diploma in Business administration/ equivalent.
•3 years of work experience in a similar environment
•Excellent computer skills.
