We have an immediate need for a Receptionist. This position will interface with clients, guests and office executives. The receptionist will manage the reception area, answer all incoming phone calls and greet all guests. This position is the first point of contact with our guests. The position offers a great deal of variety and the opportunity for an individual to take on additional responsibilities and projects with a “can do” attitude. Purpose of the Job
To provide full time Receptionist/Personal Assistant to specialise in providing our executives and the team with a consistently high level of support by performing administrative functions.
Key Performance Areas
- Greet and direct visitors, receive and direct mail and packages, and other duties as needed.
Personal Assistant to executives based in the Gaborone office.
- Coordinate repair of office equipment and ensure that all office equipment is in good working order and that it is well maintained and fully operational.
- Order stationery and printing consumables as required and maintain all office supply inventories. Also includes executive meals and beverage station management.
- Order kitchen and cleaning products as well as maintain record of available stock (products inventory).
- Act as the point of contact between the manager and internal/external clients
- Screen and direct phone calls and distribute correspondence
- Handle requests and queries appropriately
- Manage diary and schedule meetings and appointments; set up for the meeting and all other requirements
- Procurement and management of all refreshments for meetings
- Make travel arrangements; Travel, transport and accommodation arrangements – Including visiting members of staff and guests
- Maintain and organise office filing
- Maintain a pleasant appearance of the reception area
- Assist and act as document support to travel shop consultants and manager. May in time also include junior sales consulting, should an aptitude be shown.
Minimum Requirements
- A Certificate in Secretarial Studies or equivalent.
- A minimum of 5 years’ experience within a similar role.
- Experience in from the Hospitality Industry will be an added Advantage.
- Computer skills (MS Office suite).
- Valid Driver’s Licence (Class B)
