Receptionist – FHI360

Key Responsibilities:

Assumes receptionist duties, welcome visitors and refer them to appropriate staff members, answer phone, route calls, and take messages.

Duties:

·         Maintain and update mailing lists

·         Produce mailing labels and reports as requested

·         Distribute incoming mail and prepare outgoing mail including bulk mail

·         Receive and document all incoming letters, quotations and invoices

·         Receiving and delivering courier documents

·         Order office supplies and monitor inventory levels

·         Keep record of all office supplies, and issue daily/ weekly supplies to appropriate staff as needed.

·         Assist in scheduling office meetings with partners/staff

·         Take minutes during staff meetings

·         Providing assistance to staff on routine office requests (e.g photocopying, binding of materials)

EXPERTISE AND COMPLEXITY:

·         Minimum of Certificate in office administration plus at least 1 year of related experience or an equivalent combination of education and experience.

·         Knowledge of general office practices and administrative procedures.

·         Coordinate work assignments with general supervision

·         Working knowledge of switchboard/voice mail equipment and mail processes such as postage machine, DHL etc.

·         Written, verbal, and organizational skills.

·         English grammar and punctuation skills.

·         Relevant computer software skills including Microsoft office products

·         Typing skills.
