Receptionist – Paddock Conference Centre

Paddock Conference Centre is for looking for a Receptionist. The position is available immediately.

Duties and Responsibilities
-Acting as the first point of contact for the Paddock Conference Centre.
-Receiving, directing and relaying personal, telephone, fax and email messages.
-Answering queries and enquiries from clients, or directing them to the relevant department.
-Preparing quotations for clients, ensuring that they obtain all clients requirements before events and confirming and communicating them to the Sales & Banqueting Coordinator
-Preparing invoices for clients following service delivery by the Paddock.
-Following up on payments post invoicing.
-Assisting in the planning and preparation of meetings, conferences and catering events.
-Maintaining register of all events hosted by the Paddock Conference Centre and communicating confirmed events to the Kitchen and Banqueting staff timeously.
-Providing general administrative support and secretarial support.
-Filing and maintaining all documents and assisting in the preparation of VAT returns through providing pertinent information.
-Projecting a positive image of the organisation.
-Selling the facility to clients via telephone and electronic media.

Position Requirements

BGCSE, with credit in English plus a minimum of a certificate in Secretarial, Hospitality, Public Relations, Sales, Marketing, or related qualification. The person should be highly flexible and prepared to work beyond ordinary working hours and during the weekends. A pleasant disposition or personality is not negotiable.
