VACANCY CIRCULAR NO: 7 OF 2019
Vacancy: Facilities & Administration Manager (tenable in Gaborone)
Main purpose of the job:
To plan, organise and manage the administration of records, security and facilities to maximise availability and useful lifespan in the most efficient manner.To manage and oversee all Legal Aid Botswana facilities and administrative functions.
Duties/ Responsibilities
• Establishes and ensures the cost-effective delivery of administrative and facilities management services (reception, security, maintenance, mail, archiving, cleaning, catering, waste disposal and recycling) to enhance efficiency of LAB in achieving its strategic objectives and control costs.
• Utilities management, custody and use of consumable items and stationery.
• Oversees management of office transport logistics.
• Oversees and ensures adherence to established control procedures by monitoring transactions in the department; continuously seeking to improve on them with administration staff.
• Prepares periodic reports on status of administration issues and updates heads of departments and other members of staff on actions on arising administrative issues.
• Manages LAB’s central registry.
• Investigates availability and suitability of options for new premises.
• Plans for future development in line with strategic business objectives.
• Ensures that LAB premises meet health and safety requirements and that facilities comply with legislation.
• Plans allocation and utilisation of space and resources for new buildings, or re-organising current premises.
• Recommends policies for sub-contracting and out-sourcing administrative services where this strategy is of benefit to LAB.
• Negotiates and agrees outsourced service contracts on behalf of LAB (e.g., cleaning, security); monitors compliance and adherence to terms of the contracts.
• Uses performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement.
• Undertakes any other lawful tasks as may be assigned by the supervisor.
Qualifications:
• Bachelor’s Degree in Business Administration/ Facilities Management/ Building Construction or related area.
• Valid Driver’s License
• Must be a citizen of Botswana
• Must be fluent in both written and spoken Setswana/English
Work Experience:
• Minimum of eight (8) years post qualification experience in facilities management environment of which three (3) should have been served in a managerial level.
