The SADC Secretariat invites suitably qualified, experienced, innovative, result oriented and self-driven individuals who are Botswana Nationals to apply for the following positions tenable at SADC Secretariat Headquarters.Main purpose of the job: Responsible to provide procurement assistance and support to the Procurement Officer.
•Assist the Procurement Officer in determining procurement needs, quality, and delivery requirements, and throughout the tendering process
•Keep and maintain a supplier database
•Obtain quotes from suppliers
•Organise and maintain electronic records of supplier and bid information
•Check purchase requisitions against specification and compliance criteria
•Place orders with Suppliers
•Follow up orders to ensure timely and accurate supply of goods and services
•Receive orders and process receipt vouchers, invoices, delivery notes
•Check and validate details of all incoming stock consignments against purchase orders to ensure all materials received match specifications in purchase orders
•Check goods received from suppliers match the corresponding orders
•Investigate and resolve any discrepancies in supply
•Contact suppliers to schedule deliveries or to discuss shortages/missed deliveries
•Forward to Finance for payment authorisation
•Prepare and produce delivery statistics to inform users and Procurement Officer
•Keep records of goods received and outstanding
•Track stock consumption and make recommendations to replenish stock
•Perform regular physical stocktake and update stock records
•Investigate and resolve stock taking discrepancies
•Identify obsolete and redundant stocks, and stocks fallouts and make appropriate recommendation to Procurement Officer
•Maintain office stores and ensure that supplies are stocked
•Check requisitions for accuracy of codes, quantity, specifications and authorities
•Issue stock items to users as per requisitions and make entries into the system
•Ensure stock is issued to users under authorisation by carrying out the required checks and document validation
•Maintain files in respect of all requisitions
•Handle all returns to suppliers for incorrect supplies of goods
•Resolve dispatch related queries and escalate to Supervisor as appropriate
•Research and adopt best practices in own specialised area of work, and maintain high level of knowledge in order to effectively undertake the duties of the post
•Perform any other duties as may be assigned by the supervising officer
Qualifications:At least an advanced Diploma in Supply Chain or Procurement Management or related field from a recognised institution.

At least 5-7 years work experience in Procurement.
