Purpose of the job
The Executive Assistant works closely with Managing Director and directorial staff to provide administrative support, usually on a one-to-one basis. The Executive Assistant will act as an extension to the Managing Director by thinking and acting on his behalf, and Help the Managing Director make the best use of their time by dealing with secretarial and administrative tasks.
The Executive Assistant will need to obtain extensive knowledge of the organization. They need to know who key personnel are (both external and internal) and understand the organisation’s aims and objectives.
The Managing Director and directorate will need to be able to trust that work will be handled efficiently in their absence. Discretion and confidentiality are therefore essential.
Key tasks and responsibilities
Act as the Managing Director’s first point of contact with people from both inside and outside the organisation. Typical work activities will include:
· screening telephone calls, enquiries and requests, and handling them when appropriate;
· meeting and greeting visitors at all levels of seniority;
· organising and maintaining diaries and making appointments;
· dealing with incoming email, faxes and post, often corresponding on behalf of their manager;
· taking dictation and minutes;
· carrying out background research and presenting findings;
· producing documents, briefing papers, reports and presentations;
· organising and attending meetings and ensuring their manager is well-prepared for meetings;
· liaising with clients, suppliers and other staff;
· deputising for the manager, making decisions and delegating work to others in the manager’s absence;
· devising and maintaining office systems, including data management, filing, etc.;
· arranging travel and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations.
· carrying out specific projects and research;
· responsibility for accounts and budgets;
· taking on some of the manager’s responsibilities and working more closely with management;
· being involved in decision-making processes.
The EA should be capable of competently dealing with situations in the Managing Director’s absence, and should be confident enough to commission work on his behalf. Maintaining confidentiality is a fundamental requirement.
