We are seeking a highly motivated and professional Front Office Administrator to join our team. The successful candidate will be responsible for managing the front office and delivering exceptional customer service to clients, visitors, and stakeholders. As the first point of contact for the organization, the Front Office Administrator must consistently present a positive, courteous, and professional image.
Key Responsibilities
- Welcoming and assisting clients and visitors in a professional and friendly manner
- Receiving, screening, and transferring telephone calls; taking accurate messages and relaying them promptly
- Responding to customer enquiries in a timely, professional, and customer-centric manner
- Preparing and issuing customer quotations and requesting quotations from vendors
- Managing booking diaries for meeting rooms
- Administering travel and logistics arrangements as planned
- Organizing and coordinating external mail and courier services
- Maintaining effective filing systems (manual and electronic)
- Operating computerized records, information, and communication systems, and carrying out other IT-based tasks
- Managing front desk operations and general office administration
- Responding to emails and handling correspondence
- Providing administrative, sales and tendering support to colleagues as required
Requirements
- Diploma in Office Administration or Diploma in Secretarial Studies from a recognized institution of higher learning
- Competent computer skills.
- Excellent verbal communication, interpersonal, and customer service skills
- Sound understanding of administrative and clerical procedures
- Ability to work under pressure, multitask, and meet deadlines
- Proficiency in Microsoft Office Suite and QuickBooks or similar software
- Previous experience in a receptionist or administrative role will be an added advantage
