Our client is a company based in Gaborone working in the Civil Engineering sector dealing with Engineers, Engineering, Construction and Vehicle Services business activities.

Specification

➢Acting as a first point of contact between Manager and internal & external clients
➢ dealing with correspondence and phone calls

➢ Managing diaries and organising meetings and appointments, often controlling access to the manager/executive.
➢ Booking and arranging travel, transport and accommodation for Directors
➢ Organising events and conferences
➢ Reminding the manager/executive of important tasks and deadlines
➢ Typing(take dictation and minutes), compiling and preparing reports, presentations and correspondence

➢ Managing databases and filing systems
➢ Implementing and maintaining procedures/administrative systems
➢ liaising with staff, suppliers and clients(Order and keep office stationery).
➢ Collating and filing expenses
➢ Miscellaneous tasks to support their manager.

Requirements
➢ Degree in Business and Administration or related qualifications.
➢ Minimum 3 years working experience as a personal assistant
➢ Discretion and trustworthiness: you will often be party of confidential Information
➢ Flexibility and adaptability
➢ Knowledge of office management systems and procedures.
➢ Excellent verbal and written communication skills
➢ Organisational skills and time management skills

➢ The ability to multitask and prioritize daily workload.
➢ The ability to be proactive and take the initiative
➢ Ms office and English proficiency
➢ Up-to-date with latest office gadgets and applications.
