The Procurement Intern is responsible for assisting the procurement Partners in addressing all procurement needs in their respective teams and collaborating with all relevant stakeholders.
KEY RESPONSIBILITIES
• Review purchasing requests to ensure compliance with Company’s purchasing guidelines and agreed rates/prices for goods/services/works with vendors
• Escalate procurement requests that are not in compliant.
• Convert approved procurement requests to purchase orders, follow up the purchase orders for approval, and notify vendor once purchase orders are complete.
• Responsible for ensuring purchase orders are executed on time or communicating to users that timelines won’t be hit.
• Checking that the correct quantity and type of goods have been received, recording any damaged, missing or faulty goods.
• Monitor stock levels and reorder items that are low following standardized procedures.
• Ensure that all relevant documents are availed to accounting within the agreed time and payment processing to be done within the recommended time frames.
• Respond to supplier inquiries about order status, changes, or cancellations.
• Loading/offloading stock, labelling and packing it.
• Ensure the warehouse is kept in a tidy manner at all times.
• Handling all delivery correspondence with suppliers, signing the delivery form, once satisfied that the goods are complete with no damages.
• Maintain the filing system, capture and document all requests, purchases and issued stock.
• Participate in scheduled stock counts
• Perform any other duties within a reasonable request.
SPECIAL QUALIFICATION: Driver’s license
EDUCATION: A minimum of a diploma in Business Administration or Procurement from a recognized institution
EXPERIENCE: None required
CORE COMPETENCIES: Positive attitude, good communication skills, excellent planning and organizing skills. Proactive, able to multi-task, prioritize work, meet deadlines & works effectively under pressure with minimum supervision, pay attention to detail, be able to work on weekends.
