To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking is an essential for this position
Receptionist responsibilities include:
Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
- Answering screening and forwarding incoming phone calls
- Ensuring reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Providing basic and accurate information in-person and via phone/email
- Receiving, sorting and distributing daily mail/deliveries
- Maintaining office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Ordering front office supplies and keep inventory of stock
- Updating calendars and schedule meetings
- Keeping updated records of office expenses and costs
- Performing other clerical receptionist duties such as filing and photocopying, transcribing
Requirements
- 2 years proven work experience as a Receptionist, Front Office Representative or similar role.
Must have:
- College Diploma or Bachelor’s degree preferred
- Minimum of two (2) years of office and clerical experience, preferably in an academic or school environment
- Solid written and verbal Business communication skills preferred
- Proficient in Microsoft Office Suite and Outlook
- Skilled in managing multiple tasks and responsibilities
- Excellent organisational and problem solving skills
- Effective contributor in a diverse environment
- Ability to follow directions and complete tasks accurately as well as accept supervisory input and constructive criticism
- Hands-on experience with office equipment (e.g. photocopying machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Resourceful and proactive when issues arise
