Job Title: Personal Assistant (PA) to the GPFI Executive Director
Reports to: Executive Director
Location: Hybrid (Gaborone-based with remote flexibility)
Type: Full-Time Discretionary Hours
Salary: Commensurate with experience
Purpose of the Role:
To provide high-level executive and personal support to the Founder & Executive Director across her multiple ventures in sustainable development, facilities management, real estate, and social impact. This role demands a proactive, highly organised, tech-savvy individual who can seamlessly coordinate complex schedules, confidential matters, stakeholder engagement, and multi-sector projects.
Key Responsibilities:
1. Executive Support
• Manage complex calendars, including prioritization of meetings across time zones.
• Prepare briefs, agendas, meeting notes, and follow-ups for board meetings, investor calls, and stakeholder engagements.
• Liaise with senior leaders, partners, consultants, and international collaborators professionally and confidentially.
• Draft high-level correspondence, reports, and proposals.
1. Project Coordination
• Track deliverables for active business projects including GPFI projects, smart city developments, and ISO 41001 training rollout.
• Monitor project timelines, assist with proposal submissions, investor updates, and milestone reporting.
• Support the logistics and coordination of industry events, speaking engagements, and media appearances.
1. Personal & Lifestyle Management
• Coordinate personal appointments, travel (including visa applications, itineraries), and property schedules (Airbnb, real estate holdings).
• Assist with online accounts, subscriptions, confidential records, and household management where necessary.
• Ensure timely submission of tax filings and support with document collation.
1. Communication & Digital Oversight
• Manage email inbox, social media content scheduling, and communication across multiple digital platforms.
• Coordinate support for business newsletters, updates to websites, and occasional support with media content.
• Assist in managing a content calendar for the GPFI / FMCE social channels and brand visibility strategy
1. Discretion & Confidentiality
• Handle highly confidential and sensitive information with integrity.
• Maintain discretion regarding personal, financial, and corporate matters at all times.
Key Requirements:
• Minimum 3 years’ experience in a PA, EA, or Project Assistant role, ideally supporting C-suite executives or entrepreneurs.
• Exceptional written and verbal communication skills.
• Highly organized with a strong sense of initiative and ownership.
• Tech savvy: Proficient in Google Workspace, Microsoft Office, cloud filing systems, and project tools like Trello, Notion, or Asana.
• Ability to adapt to changing priorities and operate with grace under pressure.
• Familiarity with sustainability, real estate or international business is a plus.
• French language skills or willingness to use translation tools for international groups is an advantage.

Required Qualifications:
• Minimum of Diploma in Office Administration, Business Administration, Public Administration, Secretarial Studies or related field
• At least 3–5 years of experience in a similar role supporting senior executives or directors.
• Experience in office management, diary/calendar coordination, and executive communication
