OFFICE EXECUTIVE
Job Summary
Reporting to the Chief Executive Office, the incumbent is responsible fo- the daily provision of administrative support to the office of the CEO to enable it to focus on its strategic objectives. Tne role facilitates and assists the Chief Executive Officer (and, on occasion, other members of the Executive Management team) in the co-ordination. organisation and prioritization of the flow of information through the Executive Office within stipulated guidelines The role also manages the overall co-ordination of administrative and secretarial services within Head Office,
Key Performance Areas
• Provides professional support to the CEO on secretarial and administrative matters
• Assists the CEO in collation and presentation of budgets and monthly returns from departments and other workstations as well as annual financial and other reports
• Prepares and distributes relevant reports or documents to Heads of Departments and other stakeholders; follows up on responses and communicates to the CEO as required
• Acts as the contact person for requests For information, requiring knowledge of the leadership and different roles in the organisation
• Receives, screens and responds promptly to all incoming mails, In coming/outgoing calls, enquiries and requests while ensuring all correspondence are treated and responded to swiftly
• Maintains effective and comprehensive electronic & paper filing systems to ensure efficient flow of correspondence and documentation
• Organizes CEO’s meetings, visits. lunches and diaries to ensure effective and productive use of time
• Liaises with the internal customers (i.e. Heads of Departments and other members of staff) and external customers on behalf of the CEO
• Coordinates to ensue all visitors to the CEOs office are properly attended to
• Works with Admin to provide all travel and protocol arrangements for the CEO
• Manages and co-ordinates information flow in and out of the Chief Executive Officer’s office
• Ensures timely responses to all correspondence received into the Chief Executive Officer’s office
• Support the in the preparation of all documentation required for key decision making as required

Experience/Knowledge and Skills
• Five (5) years’ relevant experience with at least three (3) Years. experience as a Technical Assistant to a Senior Management role
• Administration and secretarial skills
• Excellent verbal and written communication skills
• Excellent Analytical skills
• Proficiency in Computer Applications (at least Word. Excel and PowerPoint)
Qualification
• Degree in Business Management or related course
• Secretarial Studies will be an added advantage
