– Assisting with the scheduling of training sessions and booking and notifying all relevant parties.
– Taking responsibility for ensuring all training rooms and venues, equipment, catering arrangements, and other requirements are booked or cancelled in advance.
– Sending out appropriate pre-course information to delegates/managers in advance of training courses.
– Keeping data of training suppliers and training materials up to date.
– Ensuring approval of training supplies/course content is obtained in advance.
– Allocating team members to groups when repeated training sessions are to be conducted.
– Printing up of training support materials for training courses and assisting with the creation or formatting of these where relevant. – Assisting in training course set up /clear up before/during and after a training event. – Sending out course evaluation (feedback) questionnaires following training courses and compiling/communicating feedback to the training manager.
– Recording all staff’s training attendance. Keeping training records and files up to date, filing forms, scanned and saved in the filing QMS.

– Preparation of staff manuals for all training to be done. Obtaining training records/certificates for all training conducted.
– Assisting with arranging induction program timetables for new team members.
– Arranging training provision as required by the business during annual leave other absence of the training manager.
– Assisting in the delivery of training sessions at a basic/administrative level if required. – Assisting the training manager in organizing the training by reviewing the list of participants, distributing training materials, monitoring trainees during training, supporting the trainer during training.
– Providing general admin assistance and support for the training manager/trainers. Monthly ordering of stationery.
– Processing and tracking departmental purchases and requisitions.
– Assist training manager with the monthly stock take for the training center.
– Assist trainer with travel arrangements for external (outside Gaborone) trainings.
– Ensure HRDC submissions are complete and submitted on monthly basis.
– Print out all certificate for delegates as instructed by the training manager.
– Ensure cleanliness of the training room and the boardroom at all time.
REQUIREMENTS
– BGCSE/Form 5 and a business-related tertiary qualification.
– A minimum of three years’ experience as an Administrator.
– Must have MS Word/ Excel, PowerPoint and Outlook experience.
– Should possess good planning and organizing skills, should be responsible, accountable and punctual in the workplace.
– Extensive experience in dealing with people who require support.
– A well-motivated and enthusiastic individual who works well in a team environment. – Empathetic attitude towards work, colleagues, retail group team members and suppliers.
