We are looking for a Personal Assistant to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks including arranging the General Manager’s schedule.
1. As a Personal Assistant you will provide personalized secretarial and administrative support in a well-organized and timely manner ensuring that the GM’s working life and communication is top notch.
Ultimately, your duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.

Responsibilities
1. Helps guests as soon as they arrive at the office
2. Answer, screen and forward incoming phone calls
3. Provide basic and accurate information in-person and via phone/email
· Receive, sort and distribute daily mail/deliveries
4. Order front office supplies and keep inventory of stock
· Update calendars and schedule meetings
5. Keep updated records of office expenses and costs
6. Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
7. Act as the point of contact between the manager and internal/external clients
8. Handle requests and queries appropriately.
9. Manage diary and schedule meetings and appointments
10.Produce reports, presentations and briefs
Requirements
1. Fresh-out of school graduate looking to gain experience
2. Proficiency in Microsoft Office Suite
3. Hands-on experience with office equipment (e.g. fax machines and printers)
4.Professional attitude and appearance
5. Solid written and verbal communication skills (Fluent in spoken English)
6. Ability to be resourceful and proactive when issues arise
7. Excellent organizational skills
8. Multitasking and time-management skills, with the ability to prioritize tasks
9. Customer service attitude
