Provide executive secretarial and administrative services to the CEO
Key responsibilities
Manage the flow of information to the CEO through the following tasks:
- Receive telephone calls and correspondences
- Screen phone calls
- Summarise any reports and memos received before passing them onward
Manage the CEO’s Office
- Manage and maintain office supply inventory and replenishments
- Manage and maintain the calendar of the CEO
- Prepare and format information for internal and external distribution
- Create computerised presentations where required Meetings management of the CEO
- Attend to visitors/clients, advise staff and any outsiders of any meetings.
- Issue meeting reminders and confirm attendance prior to the meeting
- Ensure relevant documents are circulated to all attendees prior to meetings
- Make logistic arrangements for meetings
- Take minutes, draft and circulate minutes after vetting.
- Filing and records management
- Provide other administrative and clerical assistance as required.
Qualifications and Experience
- At least a Degree in Business Administration or related field from a recognised institution
- At least 6-7 years post-qualification experience in a secretarial/administration environment, of which 3-4 years should have been as Personal Assistant to a top leadership position
