REPORTING TO: Conference & Banqueting Manager
EMPLOYMENT STATUS: Permanent
Main Responsibilities
- To ensure that all necessary requirements as per guests/group have been ordered and are in position and in working order.
- To liaise with all clients, ascertaining their requirements and co-ordinating these needs to ensure the successful execution of the function. This involves communicating with chefs, department heads concern and Banquet service staff.
- Banquet Menu and Ballroom Set-up Coordination. Should be knowledgeable of banquet menu preparation, banquet set-up and prices.
- To show the client the various facilities available, advising and discussing the merits of the various options.
- Ensures set up requested by the client is made, prepare conference area for the clients including signage preparation.
- To monitor and control provisional and confirmed function bookings, and ensure that no double bookings occur.
- To be aware of departmental targets and objectives and strive to achieve maximum turnover ensuring guest satisfaction and controlling costs.
- To assist maintain the highest standard of service, cleanliness and hygiene in Banqueting Department.
- To assist in the compiling of events forecast, (unctions sheets and event planning.
- Ensuring all financial aspects are followed accordingly.
- Communicate with reception and any other relevant department and inform them of expected/booked clients who are to utilize facilities.
- Be familiar with all current and upcoming event details.
- Charge all bookings and ensure that they are entered into the hotel system – opera.
- To up-date function sheet and advise all departments once confirmation of the function is received.
- Deal with any other requests not mentioned on the function sheet promptly and effectively.
- To perform any other related duties assigned to you by Management.
Qualification and Experience required
- Diploma in Tourism and Hospitality Management or related field
- 2 years’ Experience in hospitality would be an added advantage
- Opera Sales and Catering knowledge is essential
Skills and Competencies required
- Excellent customer service
- Good and effective communication skills
- Should have good organizational and coordinating abilities
- Excellent problem-solving ability is a must-have quality
- Must be able to work under pressure
