Job Summary:
We are looking for a proactive, detail-oriented Events Coordinator to coordinate indoor and outdoor events, work closely with clients, suppliers, and internal teams to ensure smooth operations and exceptional guest experiences. The ideal candidate will be a proactive, hands-on leader with a passion for hospitality, excellent organizational skills, and a strong eye for detail.

Key Responsibilities
- Coordinate events from initial enquiry and planning through to execution and breakdown
- Develop event timelines, schedules, and operational checklists
- Conduct site inspections and client meetings
- Coordinate indoor and outdoor event logistics
- Coordinate venue setup, layout, and breakdown according to event specifications
- Supervise event staff, casuals, and service teams on event days
- Ensure smooth event flow and on-site problem-solving
- Oversee equipment, décor, catering, and technical requirements
- Act as the main point of contact for clients before, during, and after events
- Liaise with suppliers, vendors, contractors, and partners
- Ensure client requirements and expectations are clearly communicated and met
- Assist with event budgets, quotations, and cost control
- Ensure contracts, invoices, and payments are processed correctly
- Maintain accurate event records and documentation
- Ensure compliance with venue policies, safety regulations, and legal requirements
- Monitor crowd control, access, and emergency procedures
- Ensure outdoor events consider weather, safety, and contingency planning
- Ensure events meet venue standards and brand guidelines
- Maintain high levels of service, presentation, and guest experience
- Identify areas for improvement and implement solutions
- Conduct post-event evaluations and reporting
- Gather client feedback and manage follow-ups
- Report incidents, damages, or operational issues
Requirements
- Degree in Events Management, Hospitality, Marketing, or related field
- Minimum of 5 years’ experience in event coordination or hospitality (preferred)
- Strong leadership and team management skills.
- Exceptional communication and organizational abilities.
- Ability to work under pressure in a fast-paced, client-facing environment.
- A flexible schedule includes evenings, weekends, and holidays.
- Proficiency in event management software and Microsoft Office.
- Knowledge of health and safety regulations related to food service and events.
- Previous experience managing outdoor events is a strong advantage.
