The purpose of the HR & Risk Administrator role is to ensure the effective execution of Human Resources, Health & Safety, and Risk operational activities at site level. The role is responsible for managing day-to-day HR administration and employee relations, supporting a compliant and safety-conscious workplace, and acting as the key link between site employees, management, and Sleep Group Head Office on all HR, Health, Safety, and Risk matters in Botswana.
Key Responsibilities
- Implement and maintain HR policies and procedures aligned to Botswana labour legislation
- Maintain HR governance documentation and document control
- Coordinate site HR initiatives aligned with Group HR strategy
- Manage end-to-end recruitment at site level in line with the Botswana Employment Act
- Process job requisitions, appointment approvals, and employee movement forms
- Ensure all approvals are obtained in line with company approval frameworks
- Coordinate onboarding and annual return-to-work inductions
- Load new employees onto HR and payroll systems timeously
- Coordinate training interventions in line with the annual training plan
- Track training attendance and compliance
- Compile training needs analysis and training reports
- Liaise with relevant training authorities where applicable
- Support grievance and disciplinary processes in line with company policy and legislation
- Prepare charge sheets, notices of enquiry, and disciplinary documentation
- Represent the company at the Department of Labour (conciliation and mediation)
- Maintain accurate, confidential employee relations records
- Ensure procedural fairness and legislative compliance
- Compile and submit monthly HR reports
- Prepare quarterly continuous improvement and compliance reports
- Maintain and update the vacancy and headcount matrix
- Ensure accuracy and timeliness of all HR data and reporting
- Manage end-to-end offboarding processes
- Conduct exit interviews
- Process system terminations and payroll notifications
- Prepare relieving letters and Certificates of Service
- Implement and support OHS programmes in line with Botswana legislation
- Coordinate Health & Safety Committee meetings
- Maintain appointments for Safety Representatives, First Aiders, and Fire Marshals
- Conduct monthly SHE and risk inspections and track corrective actions
- Maintain Health & Safety documentation, registers, and policies
- Coordinate occupational medicals and hearing tests
- Investigate incidents and accidents and determine root causes
- Ensure contractor health and safety compliance
- Coordinate fire drills and emergency evacuation simulations
- Compile monthly safety, audit, risk, and incident reports
- Ensure compliance with OHS legislation and Workers’ Compensation requirements
- Identify workplace hazards and implement preventative controls
- Ensure accurate reporting within prescribed legal timeframes
- Promote a strong safety culture through toolbox talks and awareness campaigns
- Liaise with security service providers on safety and emergency procedures
- Maintain risk and compliance system updates and dashboards (where applicable)
Requirements
- Relevant tertiary qualification in Human Resources / Human Capital Management (essential)
- 3–5 years’ experience in an HR Generalist or HR Administration role
- 3–5 years’ experience in a manufacturing or industrial environment
- Proven experience in employee relations and disciplinary processes
- Exposure to Health, Safety, and Risk Management (advantageous)
- Sound understanding and practical application of:
- Botswana Employment Act
- Botswana Occupational Health & Safety legislation (Factories Act and related regulations)
- Workers’ Compensation Act
- Strong HR Information Systems capability
- Advanced Microsoft Word, Excel, and PowerPoint skills
- Strong analytical and problem-solving skills
- Excellent communication, negotiation, and interpersonal skills
- Ability to advise management and support an employee-centric culture
- High attention to detail with strong administrative discipline
- Ability to manage change and build effective stakeholder relationships
Salary
BWP 15,000 per month
