MANAGER: TRANSPORT AND LOGISTICS – University of Botswana

JOB PURPOSE The Manager: Transport and Logistics is responsible for overseeing the University’s transportation and logistics operations. The position holder works closely with the Head of Operations and Services and other stakeholders to ensure the smooth and efficient movement of goods, materials and people. The successful candidate will optimize transportation processes, maintain the University’s fleet and coordinate logistics activities to support the institution’s overall objectives. This includes, but not limited to, driver management, compliance with road traffic and transport regulations, ensuring there is reliable, cost-effective and safe transport and logistics support for operations across the University’s campuses.

Key Responsibilities

  • i. Develop and manage a comprehensive fleet management system, including vehicle allocation, maintenance scheduling, and replacement planning;
  • ii. Oversee the maintenance and roadworthy status of all University vehicles, coordinating with approved workshops and service providers;
  • iii. Manage transport scheduling and pool vehicle booking systems to optimise utilization;
  • iv. Ensure compliance with road traffic legislation, vehicle licensing, insurance and roadworthiness certification requirements;
  • v. Manage the University’s driver establishment, including driver competency assessment, licensing compliance, and performance management;
  • vi. Coordinate logistics support for University events, construction projects, and multi-campus operations;
  • vii. Implement and operate fleet management software and digital tracking systems;
  • viii. Monitor fuel consumption and manage the fuel card system, ensuring accurate reporting;
  • ix. Develop and manage the transport and logistics budget, controlling expenditure within approved limits;
  • x. Manage and monitor outsourced transport contractors where applicable;
  • xi. Compile and submit monthly KPI and fleet performance reports;
  • xii. Develop and implement transport and logistics plans in line with the departmental strategy;
  • xiv. Manage the unit’s operational performance against established goals and objectives identifying areas for improvement and recommending corrective action as needed;
  • xv. Develop and enforce safety protocols and procedures to minimize accidents, injuries, and damage to goods and equipment;
  • xvi. Conduct regular audits and inspections to ensure adherence to safety standards;
  • xvii. Provide excellent customer service ensuring client and stakeholder satisfaction;
  • xviii. Establish and maintain partnerships with relevant internal and external stakeholders to enable effective delivery of the departmental mandate, as necessary;
  • xix. Resolve customer enquiries and issues in a timely and efficient manner;
  • xx. Participate in recruitment and ensure retention and development of a diverse team;
  • xxi. Support unit level professional development activities, including mentoring, training, and opportunities for advancement;
  • xxii. Conduct regular performance evaluations and provide constructive feedback to support continuous improvement to employees under supervision;
  • xxiii. Assist with the development and management of the departmental budget;
  • xxiv. Develop and manage transport and logistics risk register with clear mitigation strategies;
  • xxv. Undertake any other duties as directed by the supervisor in line with the role.

Requirements

  • A minimum of a Bachelor’s degree in, Logistics Management, Supply Chain Management, Business Administration, Transport Management or a related field;
  • A professional qualification or certification in fleet management, transport, or logistics from a recognised institution will be an added advantage .
  • A minimum of six (6) years’ work experience, three (3) of which should have been at senior officer level, i.e. in transport management, fleet management or logistics operations;
  • Experience in managing a significant vehicle fleet in a large organisation is preferred;
  • Demonstrated experience with fleet management software, vehicle tracking systems and transport reporting;
  • Knowledge of road traffic legislation, transport regulations, and vehicle compliance requirements in Botswana;
  • Experience in driver management, including competency assessment. Higher Education experience is preferred.
  • Strong knowledge of transportation regulations, fleet management, and logistics best practices;
  • Excellent organizational and problem-solving skills, with the ability to prioritize tasks and manage multiple projects simultaneously;
  • Proficient in using transportation management systems (TMS), GPS tracking and other relevant software applications;
  • Strong leadership and team management abilities, with excellent communication and interpersonal skills;
  • Analytical mindset with the ability to gather and interpret data to drive operational improvements;
  • Attention to detail and a focus on delivering high-quality service;
  • Financial management and budget control.
