Reporting to the Project Manager, the incumbent will provide confidential administrative assistance and support to the Project Manager and assist with overall effectiveness of day-to-day admin operations with the objective of ensuring effective and efficient workflow.

Key Responsibilities

  • To provide secretarial and administrative assistance to the Project Manager (including maintenance / management of the managers personal schedule, travel arrangements etc.) in order to effectively manage the Project Manager’s time
  • To administer Company travel including managing travel and hotel agent relationships in order to ensure the best possible rates are secured
  • To manage in-coming and outgoing correspondence and administrative data, including file indices and document control systems in order to ensure accessibility and accuracy of all information
  • To ensure all phone calls and visitors are attended to promptly and politely in order to provide a positive and courteous interface with internal and external clients.
  • To maintain Project contact database in order to provide Project Manager and other members with accurate contact information
  • To administer the office stationery, housekeeping and food / beverage supply requirements and maintain a record of stocks in order to ensure that such supplies are constantly replenished as required.
  • Address general accommodation queries and requests
  • To assist with the facilities functions from time to time

Requirements

  • Professional certificate or diploma in secretarial studies
  • 5 to 8 years’ experience in a mining environment
  • Class B driver’s license
  • Knowledge of MS Office
  • Good skills with PowerPoint
