1. PURCHASE ORDER ADMINISTRATOR

OVERALL PURPOSE OF THE ROLE

Responsible for managing the purchase order process, ensuring efficient and cost-effective procurement of goods and services.

KEY RESPONSIBILITIES

General and Task Management

– Download Purchase Orders (PO) from QAD and add to the Purchase Order Tracker (POT)
– Update PO collection dates in line with the PO in-plant dates
– Add and update Goods in Transit (GIT) information using the Leschaco Shipping Report
– Engage with PO Capturer to ensure ALL PO’s have been confirmed with the requested collection dates, quantities and price
– Update due dates in line with shipping schedule from Leschaco on QAD
– Escalate any part that is not going to achieve the requires in-plant date to the Expeditor/Manager
– Provide PO collection information to Expeditors to engage with the suppliers regarding collections
– Engage with Expeditors regarding collection confirmations as per POT
– Participate in the daily meetings with Leschaco for timeous updates regarding all shipments and highlight sailings that do not match required in-plant dates
– Provide weekly updates to Finance on Goods in Transit (GIT) value
