The Receptionist is the first point of contact for clients, visitors, and employees entering the office. Responsible for providing exceptional customer service, managing incoming calls and visitors, and performing various administrative tasks to support the smooth operation of the office.
Responsibilities:
– Greet and welcome all clients, visitors, and employees in a friendly and professional manner
– Answer and direct incoming phone calls, taking messages or transferring calls as appropriate
– Schedule appointments and maintain calendars for key personnel
– Sort and distribute incoming mail, packages, and other deliveries
– Maintain a neat and organized reception area, including stocking supplies and managing inventory
– Assist with basic administrative tasks such as filing, copying, scanning, and data entry
– Provide information and support to clients and visitors, directing them to the appropriate personnel or resources
– Perform other duties as assigned to support the overall operations of the office
Qualifications:
– High school diploma or equivalent; some college or vocational training preferred
– 1-2 years of experience in a customer service or administrative support role
– Excellent communication and interpersonal skills, with the ability to interact with a diverse range of people
– Strong organizational and multi-tasking abilities, with attention to detail
– Proficient in using office equipment and software, including Microsoft Office suite
– Professional demeanor and appearance, with the ability to remain calm under pressure
– Flexible and adaptable, with a willingness to take on additional tasks as needed
