Key Responsibilities
- To provide advanced clerical and typing duties including transcription of dictated or recorded materials, preparation of official documents, correspondences and maintaining office records. The role often supports senior management or administrative duties with accurate and confidential documentation.
- Oversees the work of junior staff and provides on the job training.
- Types letters, minutes, reports, notes from manuscripts or other forms of copies and files copies.
- Produces copies from original scripts.
- Checks their work for correctness and proper layout.
- Keeps up to date with Public service procedures and practice regarding the use of abbreviations, correction of first draft, and in addressing of official correspondence
- Takes shorthand dictation
- Prepare minutes of meetings and distribute them in a timely manner
- Schedule appointment, meetings and manage calendars for senior staff if required
Requirements
- Qualifications: National Diploma/Higher National in Secretarial Studies (NDSS/HNDSS)
- Experience: Direct Entry for Diploma Holders. Candidates can also be considered if they hold National Certificate in Secretarial Studies (NCSS) have at least two (2) years as a Typist I (B2/1).
