STOCK CONTROLLER – Life Gaborone Private Hospital

VACANCY 

A vacancy exists for the position of Stock Controller Officer based at Life Gaborone Private Hospital Pathology Unit, reporting to the Pathology Manager. The candidate will be responsible for the procurement and management of stock within the Pathology unit. The role requires the officer to work with internal and external clients to ensure customer satisfaction and uninterrupted service due to stock.

Critical Outputs

• Develop and maintain sound relationships with internal and external customers to achieve co-operation and compliance with audit processes.
• Set up and maintenance of preferred stock levels, and daily ordering of stock to ensure a quality pathology supply service.
• Stock forecasting, procurement, and management of stock.
• Asset management to ensure security of stock and to minimize loss due to redundancy.
• Monitoring expiry dates of all items and managing as per protocol.
• Informing Pathology departments and Pathology Manager of any stock issues and shortages.
• Ensuring that stock is available at all times.
• Managing the procurement, control, and distribution of Pathology stock.
• Ensuring accurate receiving and receipting of Pathology stock.
• Capturing of consignment invoices and transfers to hospital accounts department.
• Capturing and handling of product complaints.
• Resolving queries from relevant stakeholders.
• Ensuring a culture of quality in business and operational excellence.
• Provide support in new product development and enhancement activities.
• Preparing plans for the purchase of equipment, services, and supplies.
• Reviewing, comparing, analyzing, and approving products and services to be purchased according to specified requirements.
• Maintaining good supplier relations and negotiating contracts.
• Monthly central inventory stock takes and reports.
• Requesting quotations, evaluating, and choosing supplies for stock and non-stock items.
• Processing vendor creation documents for loading and reviewing of vendors on the systems.

Requirements

• A Diploma in Purchasing and Supply with CIPS registration or equivalent.
• Sound knowledge of at least 2 years on stock control in a hospital environment.
• Understanding of the private healthcare industry, its challenges, and role players would be an advantage. Pathology experience and knowledge of systems (Meditech) is an added advantage.
• A person who is result-oriented, pays attention to detail, has excellent interpersonal as well as experience within inventory management or relevant experience within a Pathology environment.
