Botswana Harvard Health Partnership (BHP) is a collaborative research and training initiative between the government of Botswana and the Harvard School of Public Health. BHP is dedicated to fighting HIV/AIDS and related public health challenges through collaborative research, education and capacity building.

We seek an experienced researcher, who is hands on, assertive and results oriented, with a demonstrated history of successfully managing a team to join the BONDS study as the team’s Study Coordinator.

The incumbent will be expected to work with the study’s Multi-Principal Investigators (mPIs) to plan, supervise, and oversee the day-to-day research activities in accordance with research standards, to manage and develop study staff, to manage study finances, and to routinely share study findings with relevant stakeholders.

Key Responsibilities

  • Coordinate the implementation of the study’s operational aspects which includes general administration, staff oversight and development, protocol compliance, data management, regulatory administration, participant facing activities (including completing study visits and certain clinical study assessments), safety, budgets and contracts.
  • Maintain study standards according to the guidelines of the study protocol, Botswana Harvard Health Partnership, and any governing Institutional Review Boards or Ethics Committee and the study sponsor.
  • Assist with the design, coordination, implementation, and assessment of data Quality Assurance, working with the Project Manager and Data Management Core (DMC) on issues related to data completeness and quality.
  • Provide oversight and leadership to the study team, with support from the study mPIs, to ensure that data quality management plan is adhered to and data quality is assured.
  • Assist the Project Manager and DMC with generation of study related reports and data as needed. Including the sponsor required annual data sharing procedures.
  • Act as a liaison between mPIs, Co-Investigators, Project Manager, DMC, the laboratory, Bot-swana Ministry of Health and Wellness, the Botswana Ministry of Child Welfare and Basic Education, the Community Advisory Board (CAB) and any other applicable stakeholders, to keep all relevant stakeholders apprised of study achievements and challenges.
  • Supervise and manage the performance of study staff, including providing daily performance feedback and leave oversight, and the timely preparation and administration of mid and end of year performance appraisals.
  • Facilitate capacity building for study staff through one-on-one training and/or team training and provide opportunities for staff to participate in various conferences and training applicable to the study.
  • Ensure that study accrual and retention targets are achieved. Assist DMC with preparing bi-monthly reports outlining actual accrual and retention results versus targets, with narrative as to planned recruiting and retention strategies.
  • Ensure that participant lost-to-follow up is minimized and assist DMC to prepare a monthly report for lost to follow-up and a narrative of actions that will be taken to minimize further losses.
  • Prepare adverse events reports for sponsors and governing agencies in accordance with the study’s protocol as well as manage the adverse event report internal monitoring (spreadsheet or other)
  • Maintain the study’s Regulatory Binder, ensuring that necessary documents, such as the as well as protocol deviation spreadsheet, delegation of authority log, training logs, meeting attendance logs, and evidence of up-to-date human subjects training of study staff members.
  • Manage the study budget, including approving invoices for study expenditures (e.g. equipment repair) and reviewing BHP study expenditures for accuracy prior to BHP Finance submitting invoices to the contact PIs institution. The Study Coordinator also will oversee the reconciliation of the petty cash for the study, ensuring that there is always available Pula. Finally, the Study Coordinator will ensure that BHP spending does not exceed monthly budgets.
  • Perform duties such as recruiting, consenting, completion of visit case report forms using the applicable data capture platforms, phlebotomy (if applicable), and other study specific activities required of clinicians or research associates, as the need arises, to ensure smooth functioning of study activities.

Requirements

  • Minimum of a nursing bachelor degree or related bachelor degree in the health or pub-lic health field including a bachelor degree in Medicine (e.g. MBBS, MBChB) or a bachelor or master’s in Public Health.
  • Minimum of 5 years in research
  • Strong track record of management the performance of subordinates
  • At least 3 years’ experience coordinating a grant funded project.
  • Registered with Botswana Health Professional Council with a valid annual practicing li-cense if MBBS, MBChB, or RN.
  • Excellent time management
  • Outstanding written and oral communication skills
  • Ability to use Excel spreadsheets, Word, and PowerPoint to prepare study related re-ports and materials.
  • Ability to work in a fast-paced team oriented environment
