Frequently Asked Questions

What qualifications are typically required for a Temporary Executive Assistant role in Botswana?

Most employers require a Diploma in Secretarial Studies, Business Administration, or Office Management from institutions like ABM University or Botswana College of Accountancy. Proficiency in Microsoft Office Suite and at least 3-5 years of executive support experience are commonly expected. Additional certifications in project management or public administration can strengthen your application.

What are the typical day-to-day responsibilities of an Executive Assistant at a ministry like the Ministry of Health?

You will manage the Principal Secretary or Director's calendar, coordinate high-level meetings with stakeholders, and prepare confidential correspondence and briefing notes. Duties also include handling travel logistics, maintaining filing systems, and liaising with other government departments and development partners. Discretion and ability to work under pressure are essential given the sensitive nature of health sector information.

How does the local work culture in Botswana's public sector affect this role?

Botswana's public sector emphasizes hierarchy and formal protocols, so understanding proper channels of communication and respect for senior officials is crucial. Punctuality is valued, though meetings may start later than scheduled due to cultural norms around time. Building relationships through polite, indirect communication styles will help you navigate interdepartmental coordination effectively.

What benefits can I expect as a contract employee in a government ministry?

Contract positions in Botswana's public sector typically include gratuity payments upon contract completion rather than traditional pension schemes. Medical aid coverage varies by contract terms, with some ministries offering subsidized schemes like BOPA or private options. Annual leave usually follows the Public Service Act provisions, generally around 20-25 working days per year.

What career progression opportunities exist after working as a Temporary Executive Assistant?

Strong performance can lead to permanent appointment through internal recruitment or secondment to senior administrative roles like Personal Secretary or Administrative Officer. Experience at ministry level opens doors to positions in parastatals, NGOs, or international organizations operating in Botswana. Many EAs transition into program coordination, human resources, or executive management tracks with additional qualifications.

How should I apply for this role, and what do Botswana employers prioritize in applications?

Submit your application through the Public Service Management Directive portal or as specified in the vacancy announcement, including certified copies of Omang, academic certificates, and references. Employers prioritize candidates with proven experience in government or large organizational settings, discretion with confidential information, and Setswana language proficiency. Tailor your CV to highlight measurable achievements in executive support rather than generic administrative duties.
