Types, takes shorthand dictation, transcribe from audio dictating machines and word processes letters, reports, documents and technical papers. Mans the reception desk. Receives and directs telephone calls to appropriate officers, receives incoming and outgoing mail.
Key Responsibilities
- Type’s letters, minutes, reports, notes from manuscripts or other forms of copies and files copies.
- Produces copies from original scripts.
- Checks his/her work for correctness and proper layout.
- Keeps up to date with Public Service procedures and practice regarding the use of abbreviations, correction of first draft and in addressing of official correspondence.
- Retrieves and processes data to produce required information and reports.
- Manages offices and diaries of the incumbents they serve.
- Provides typing duties to a group of middle management officers.
- Undertakes any other related duties as required to meet the exigencies of the service.
Requirements
- Direct entry to this grade will be limited to serving candidates who hold at least National Certificate in Secretarial Studies plus two years’ relevant experience.
- Promotion to this grade will be limited to serving officers who have completed at least two years’ satisfactory service as Typist II (B3/4).
