EXECUTIVE ADMINISTRATIVE ASSISTANT

An established company in Gaborone is looking for an administrator to join their team. To be successful one has to be enthusiastic, compassionate and experienced person to help manage our increasingly busy administrative support and office functions.

 

Job Description

The role also encompasses project administration responsibilities, covering a wide-range of Department initiatives and office operations projects.

 

KEY ROLES AND RESPONSIBILITIES

• Organizing and managing schedules and calendars for staff, managers, and senior-level officers
• Receiving and processing communication channels, including email, phone, and physical mail
• Conferring with accounting department to help make payments, process incoming invoices, and verify receipts
• Answering clients’ and employees’ queries in a timely manner
• Manage scheduling for company executive
• Draft, review and send communications on behalf of company executive
• Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
• Answer and respond to phone calls, communicate messages and information to the executive
• Prioritize emails and respond when necessary
• Coordinate travel arrangements

REQUIREMENTS

Driven, hardworking individual with strong administrative skills

• At least 3years administration experience
• Must be able to work independently
• Must be able to work under pressure and in a demanding environment
• Must be willing to work alternate weekends
• Clear Criminal Record
• Salary will be discussed in the interview
• Drivers license required
