Reporting directly to the Registrar and indirectly to the Tribunal President, the Executive Secretary to the Registrar will provide high-level, professional and confidential executive support services to the Registrar. The role is responsible for managing the Office of the Registrar by ensuring that its administrative, organisational, communication and stakeholder support needs are met in a timely and professional manner.

Key Responsibilities

  • Provides administrative and office support to the Registrar to ensure that the office runs smoothly and attends to strategic and operational issues in accordance with the Tribunal mandate and priorities. Maintains the Office’s diary and manages daily schedules of the Registrar’s commitments to ensure effective coordination of activities and to enhance the preparedness of the Registrar to manage Tribunal demands. Manages correspondence, documentation, meeting papers and briefing materials to ensure timely communication, effective decision-making and accountability.
  • Coordinates internal and external engagements, including meetings, travel arrangements, official events and related logistical support for the Registrar and Members of the Tribunal.
  • Maintains effective working relationships with key stakeholders, including the Tribunal President, Tribunal Members, Executive Team, public sector and private sector stakeholders.
  • Undertakes research and gathers relevant information on the progress of activities to support decision-making by the Registrar.
  • Maintains records and ensures that documentation is handled in line with required standards.
  • Upholds high secretarial and administrative standards and contributes to the training and development of other employees where required.

Requirements

  • Bachelor’s Degree in Office Management, Business Administration or a related field.
  • A minimum of five (5) years’ relevant experience, two (2) of which must have been spent providing executive support to a senior executive or senior management team.
  • Expert proficiency in Microsoft Office.
  • Sound knowledge of administrative and secretarial processes.
  • Excellent judgement and analytical skills.
  • Strong organising, planning and coordination skills. Ability to use modern office equipment to produce high-quality work.
  • High degree of professionalism when dealing with diverse stakeholders.
  • Ability to maintain confidentiality, integrity and discretion.
  • Initiative and ability to function independently with minimal supervision.
