KEY RESPONSIBILITIES AND DUTIES
OPERATIONS
- Maintain organizational calendars and registers (insurance, assets and equipment etc) and the performance monitoring system.
- Maintain the system for monitoring Memoranda of Understanding, contracts, agreements and other operational documents.
- Coordinate building maintenance and cleaners and ensure appropriate acquisition of resources.
FINANCE, FUNDING AND PLANNING
- Prepare strategic financial and planning materials.
- Manage the development of organizational and project budgets to ensure effective financial planning, management and monitoring income and expenditure.
- Manage all banking arrangements.
- Supervise the bookkeeper and monitor the preparation of day-to-day financial management including banking, reconciliation, invoicing, debtor management, bookkeeping, payroll and petty cash.
- Prepare financial reports for the Directors.
- Prepare and review budgets.
COMPLIANCE
- Oversee Work Health and Safety systems, including identification of workplace risks and their effective management
ORGANISATIONAL DUTIES
- Contribute to strategic and operations planning including assisting the Executive Director with the development / review of Business plans, policies and procedures as required.
- Coordinate Managers’ meetings.
- Coordinate and resource regular staff and team meetings.
- Provide monthly written reports to the Executive Director.
- Attend regular supervision meetings with the Executive Director.
- Undertake general administrative tasks such as banking, mail and answering enquiries.
- Attend regular company staff meetings and other business meetings and events as required (such as Annual General Meetings, etc).
- Participate in staff development and training activities as required.
- Be involved in the overall planning, development and evaluation of the company as a whole.
- Conduct other duties as directed by the Executive Director in line with this
- Position Description.
PREMISES MANAGEMENT
- Oversee and maintain the company’s premises, including managing
- Kalafhi Medical Center’s relationships with trades people and contractors.
- Ensure the premises are kept in a good condition and arrange for upgrades and repairs to be undertaken as required.
- Oversee the company’s Asset Register.
SKILLS AND QUALIFICATION
- 4 years working experience in Operations, Facility Management, Business Administration or similar field.
- Chartered Accountant registered with BICA.
- Bachelor degree in Facility Management, Operations Management or equivalent.
- Excellent interpersonal, communication and organisational skills.
- Working knowledge of MS Office and other management software programs, including QuickBooks, Trello, etc.
- Ability to work with details and time-sensitive issues.
- Good problem-solving and decision-making skills; ability to respond to high-pressure situations
