Job Description
The main purpose of the Receptionist role is to manage the De Beers Global Sightholder services reception area at DBGSS office in Gaborone and provide administrative support to the Facilities Section and DBGSS business at large.
The work of this role includes..
Provision of quality reception services to staff, visitors and stakeholders
- Answer the general switchboard, announce visitors and provide courteous and knowledgeable customer service to walk-in visitors
- Ensure the reception area, foyer and other public spaces in the office are neat and tidy, and feature up-to-date company information e.g. pamphlets
- Maintain a high level of personal presentation at all times
- Coordinate general enquiries that are made in person, by phone, or over email and escalate complex queries to the appropriate parties
- Update night switch and on-hold messages
- Monitor the movement of staff and visitors through sign in registration and a swipe card system
- Maintain the lobby, ensuring it is clean, tidy, and presentable at all times
Enhance the capacity of the administration team through the provision of support services for the DBGSS offices
- Collect, log and distribute incoming and outgoing mail, and distribute incoming faxes and emails to staff
- Liaise with couriers and reconcile delivery invoices
- Provide administrative and logistical support for company events
- Monitor stocks of office materials and corporate collateral (letterhead, envelopes etc), ordering more as required
- Perform clerical or administrative duties as needed, such as: guesthouse management, payments, filing & database systems, and other related office support duties
- Maintain the meeting rooms, ensuring they are clean, tidy, and ready for use
- Coordinate and organize meetings, conference calls, video conferences, and their related materials as required
- Coordinate the kitchen, ensuring it is clean at all times and ensure related amenities are in stock, and ready for use
- Coordinate coffee service and catering service for staff and ensure meeting rooms are fully stocked
- Facilitate in country transportation through liaising with car rental companies and in liaison with the DBGSS Driver manage the use of DBGSS pool cars
- Effective liaison with DTCB regarding provision of internal office services
- Ensure Sight rooms are cleaned prior and during Sights on regular basis.
Stakeholder Facilitation
- Liaise with stakeholders, external service providers, in a professional and helpful manner
- Greet and direct all visitors accordingly
SHE, Risk Management and Business Integrity
- Comply with corporate governance requirements in technical, assurance, occupational health and safety, and environment
- Ensure timely and appropriate incident reporting, management and investigation and implement required remedial action to maintain and restore standards
- Participate in SHE campaigns as scheduled
- Participate in risk assessment processes
Qualifications
- Post-Secondary education
- Demonstrate proficiency with all applicable software packages including but not limited to CISCO Unified Attendant Console, MS Windows and MS Office, including MS Word, Excel, Outlook, and Powerpoint
- Must be in possession of a valid driver’s license
Experience
- 3+ years of relevant experience in a customer centric environment
- Some experience in the performance of administrative and clerical tasks working within set standard procedures
- Exposure to customer service principles and practices
- Knowledge of SAP business solutions
