Self-driven, efficient and resourceful Botswana citizen is sought to fill the below position.
VACANCY: Senior Executive Secretary (1) – Tenable in Gaborone
SALARY SCALE: D3 (P215, 868-P238, 320 per annum)
BENEFITS:
i. Optional contributory Medical Aid Scheme (Government pays 50% and employee 50%)
ii. Contributory Pension Scheme (Government pays 15% and employee 5 %).
iii. Housing and Upkeep Allowance P300 per month.
LEAVE 30 working days per annum
QUALIFICATION
To be considered for appointment, applicants must have at least National Diploma in Secretarial Studies or Higher National Diploma in Secretarial Studies.
EXPERIENCE
At least eight (8) years relevant work experience two (2) of which should have been served as Executive Secretary- D4 salary scale in Public Service or equivalent in Private/ Parastatal Organisation.
DUTIES
• Provides secretarial services to supervisor.
• Maintains and handles highly confidential and secret matters of Government and State affairs.
• Provides committees with secretarial and editorial services.
• Manages and maintains the supervisor’s diary.
• Designs and adapts file management systems to relevant secretarial work.
• Types letters, minutes, reports, notes from manuscripts or other forms of copies and files copies.
• Checks work for correctness and proper layout.
• Takes shorthand dictation
• Oversees all secretarial staff within the court
• Keeps up to date with Public Service procedures and practice regarding the use of abbreviations, correction of first draft, and in addressing of official correspondence.
• Organises and arranges induction and orientation for new employees in secretarial office.
• Advises on the election of appropriate machines suitable for carrying out secretarial services such as word processors, software packages, typewriters, audio and reprographic equipment.
• Reviews filing systems from time to time to effect improvements and arranges induction sessions to orient subordinates on how to operate the new system.
