Overview of role
Candidates must have a helpful and supportive attitude, with the ability to be well organised and to meet deadlines. This is a junior role, however there is opportunity for growth. The principal duties will include working as part of a team to provide an efficient office administration and facilities service, ensuring accuracy and timely completion of all tasks. Driving and messenger requirements fill 50% of this role and wide-ranging admin support services the balance. Whilst each member of the department has specific responsibility for designated tasks, the department works under a team ethic, whereby assistance and cover is provided by other members of the team. (except no one else learns the driving and messenger tasks). Everyone in the team learns each other’s designated tasks/duties.

Job description
- Providing general clerical assistance to the Administration team as necessary
- Collection and processing of outgoing mail / internal delivery of incoming mail and parcel consignments
- Banking duties and regulatory affairs e.g. BURS
- Delivery of invoices, interview packs, tender documents.
- Overseeing licencing, cleaning, servicing and maintenance of company vehicles.
- Assisting with premises maintenance and cleaning
- Tasks to company houses and overseeing maintenance there
- Driving of senior management to and from airport as required
- Overseeing IT issues, updating Office subscriptions, and general systems maintenance
- Ensuring timely reconfiguration of meeting rooms as required, e.g. tidy, stocked with refreshments, setting up of or maintenance to audio-visual equipment
- Ensuring reception desk, visitor’s area, meeting rooms, service kitchen always well organised, clean and tidy
- Setting up and clearance of meeting rooms
- Operating a keyboard-based switchboard. Taking and delivering messages. E-mailing of telephone messages, internal memos and miscellaneous information.
- Cover all aspects of general reception duties
Requirements, Education and Experience
- Basic computer skills – good knowledge of Outlook and Windows 2010 an advantage
- Ability to work alone and / or as part of a team with fluctuating workload. Ability to use own initiative as appropriate
- Friendly, sociable, mature personality. Able to maintain high standard of professionalism always
- Flexibility of hours and duties performed
- Driver’s license
