RECEPTIONIST- Gaborone

Key Performance Areas:

• Switchboard operation; provide a professional service, receive incoming calls and transfer to the rele­vant extension, taking of accurate messages
• Deal with all enquiries both in person and on the telephone in a polite and professional manner, treat all visitors in a polite and courteous manner at all times.
• Promote a professional image of the company at all times: be knowledgeable about its products and services and ensure mail and deliveries are distributed timeously
• Ensure cleanliness of reception area and office facilities
• Maintain an adequate inventory of office supplies
• Report and arrange for repairs of faulty lines and equipment.
• Receive quotations authorized by HOD’S and prepare NPS purchase requisition
• Ensure purchase order requisitions are approved, printed, signed and follow up of long outstanding NPS orders on SAP
• Prepare workflows for new customers and suppliers
• Finger print enrolments of employees on the clocking system
• Prepare and manage board room activities
• Carry out general administration functions like typing of reports & correspondences, filing, make book­ings for travel and accommodation et

Competencies and knowledge:

• Excellent communication skills
• Have a passion for Customer Service
• Computer literacy; Outlook, MS Word, MS Excel anTMS^–Powerpoint
• Working knowledge of ERP systems; preferably SAP
• Attention to detail
• Team player

Qualifications and Experience:

• Form 5 is essential
• At least 2 years’ experience in customer facing administrative/ secretarial role
• Secretarial certificate or diploma will be an advantage
