Administration & Operations Officer

Reports to: Chief Finance Officer

The main purpose of the job will be to provide administrative support to finance and operations whilst ensuring smooth running of the office.

Essential Job Functions

• Improving business functionality to align with core business objectives.
• Overseeing and coordinating daily business operations
• Tracking operational costs toward maintaining profit-margins
• Developing and implementing operational policies and procedures
• Identifying operational bottlenecks and inefficiencies and implementing necessary changes
• Managing procurement processes and coordinating material and resources allocation
• Monitoring adherence to policies and processes throughout the company.
• Analyzing and maintaining operational data
• Responsible for purchase request and appropriate filing of asset and preparing regular reports on expenses and office budgets.
• Maintaining and updating company databases and organizing a filing system for important and confidential company documents.
• Ensuring all operations adhere to health and safety regulations.
• Ensure that all branches, council, licenses, and Head office licenses are paid, updated, and meet statutory requirements.
• Over see that branch premises are in order as per standard guidelines in liaison with Operations Department.

Requirements

• Proven work experience as an Operations Officer or similar role
• Experience with operational processes, analysis, and reporting.
• Understanding of business functions including HR, Finance, and Marketing
• Excellent organizational and leadership skills
• Strong analytical and problem-solving abilities
• Working knowledge of data analysis and performance metrics
• Proficiency with MS Office and operational software
• Ability to strategize and solve problem.
• Police Clearance Certificate will be required upon being offered the job.

Qualifications & Experience

• Minimum Degree in Business Management, Finance, or any related field
• COP
• At least 2-year experience
