RECEPTIONIST WANTED
JOB BRIEF
Our client a civil works and road surfacing contractor who is registered under the Companies Act and with PPADB is looking for a Receptionist to be the first point of contact of clients and supplies of the business. The receptionist should be experienced, competent, manage time efficiently, and be very well organized.

⦁ Answer and direct phone calls in a polite and friendly manner
⦁ Welcome visitors in a warm and friendly manner, and answer any questions visitors have
⦁ Maintain reception area and all common areas in a clean and tidy manner at all times
⦁ Operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer
⦁ Keep detailed and accurate records of visitor requests and of calls received
⦁ Receive deliveries; sort and distribute incoming mail
⦁ Take inventory of supplies and restock as needed
⦁ Maintain the general office filing system
CANDIDATES
At a minimum, the successful candidate should have the following background:
a) Diploma in Business Management/ Administration or equivalent
b) Minimum 5 years’ experience working as a receptionist or in a similar role
c) Secretarial certificates, qualifications and professional memberships are an added advantage.
COMPETENCIES
The following competencies are required:
⦁ Proven experience as a receptionist or in a similar administrative role
⦁ Strong verbal and written communication skills to interact clearly with customers, suppliers, and other employees
⦁ Strong organizational skills to keep accurate records and find important information quickly
⦁ Excellent time management skills to prioritize and complete a variety of tasks throughout the day
⦁ Patience and listening skills to respond appropriately and interact positively with upset customers
⦁ Interpersonal skills to create a pleasant experience for all customers, such as being personable and attentive
⦁ Proficiency in Microsoft Office products (Word, Excel, and PowerPoint) and the ability to learn company-specific software if required
